Importing Contacts with Their Opt-in Status

Published · Last updated

Overview

By default, contacts imported for the first time get the opt-in status Unconfirmed. Depending on where you are in the world, this may or may not let you send them marketing emails.

If you’re moving from another CRM or email service, you can bring each contact’s opt-in status with you. This keeps unsubscribes, bounces, and complaints from being emailed again.

Add an Opt-in Status Column to Your CSV

Add a column to your CSV called optin_status and fill in a value for each contact. Any of the values below are accepted and will be mapped to the matching status in Groundhogg.

Opt-in statusAccepted values
Unconfirmed1, pending, unconfirmed, unconfirm
Confirmed2, confirm, confirmed, subscribed, subscribe
Unsubscribed3, unsubscribed
Bounced6, hard_bounce, hard bounce, bounce, bounced
Spam7, spam, spammed, fake
Complained8, complaint, complain, complained

Values from other systems, like HardBounce or SpamComplaint, won’t be recognized. Rename them to one of the accepted values before importing.

Import One Status at a Time (Optional)

If it’s easier, split your list by status and import each file separately. That way every row in a file uses the same value.

  1. Import your Confirmed contacts.
  2. Import your Unsubscribed contacts.
  3. Import your Bounced contacts, and so on.

Map the Column During Import

Start your import from Groundhogg » Contacts » Import. When mapping fields, map the optin_status column to Optin Status in the dropdown.

Contacts already in Groundhogg are matched by email address and updated, so you can also use this to update the status of existing contacts.
